On a discovery call, I will ask my potential clients several questions to help me better understand the purpose of the event they are looking to plan. Please allow me to share a few tidbits to help determine what you as an event host may look for before making that new client discovery call with an Event Pro.
Part 1 Event Panner
An event planner's main focus is primarily on the logistics of your event, scoping out locations, soliciting bids, managing vendor relationships and client communications, creating and negotiating contracts, and managing budgets are all event planner responsibilities. Professional event planners are often skilled with both technical abilities, such as managing booking software, and CRM for corporations, and soft skills, like strong communication and critical thinking, and problem-solving. Event planners provide clients with a full-service turnkey experience to allow for maximum enjoyment of the momentous occasion.
Here is a short list of responsibilities of an Event Planner:
Identifying clients' requirements and expectations for each event.
Brainstorming and implementing event concepts and themes.
Preparing event budgets and processing invoices.
Researching and booking venues.
Organizing suppliers, caterers, staff, and entertainment.
Coordinating all logistical elements of the event.
Managing set-up, tear-down, and clean-up operations.
Anticipating attendee needs and making preparations against potential risks.
Developing post-event reports on the effectiveness of each event.
